ADMINISTRATOR
(8 hours a week)
Primary Responsibilities are to ensure the following:-
- Office duties
- Counselling room duties
- All paperwork, files and records for Listening service are kept up to date – soft and hard
- Assist with organising and attend occasional fundraising events
- Maintain database
- Support Centre Director and Listening coordinator with administrative and practical support
Typical tasks will involve (but are not limited to):
- Answering incoming calls, training/meeting set-up, counselling room set up, office set-up
- Update resources for listeners on sharepoint and in cabinet
- Input client information from incoming calls from clients onto excel spreadsheet
- Update old handbooks and maintain sharepoint
- Ensuring fresh flowers, tissues, teas, milk are available
Person Specification:
Essential:
- Fluent English speaker with good written, and verbal communication skills
- Self-motivated and resourceful approach to getting the job done
- Strong organisational skills, with the ability to prioritise and to work with attention to detail
- Flexible multi-tasker who is able to work independently as well as part of a team
- Good knowledge of Microsoft Office – Excel, Word, Outlook and ideally PowerPoint and Mailchimp
- Basic numerical skills to e.g. produce client statistics
- Respect confidentiality
Desirable:
- An appreciation of the work that SEEN does
- Previous experience in administration role
- Willing to attend training as necessary
